WV USAG Meeting
July 2011

Meeting came to order. 10:00 a.m.

 

AGENDA

 

1.)        New judges in the State!
I am happy to announce that there 5 new Judges.

2.)        MEETS IN THE STATE 2011
 

3.)        Club eligibility:
Determined by the physical address of the Club is the State in which they compete.
 

4.)        Athlete Declaration  February 1, 2012
Athletes must have their level declared by February 1, 2012 in order to compete at the State Meet.
If you know the level your athlete will compete by December or January you are encouraged to send it in early.
 

5.)        Athlete’s registration
USAG registration JUNE 1, 2011 no rate increase
 

6.)        Entry fees to meets
Entries to any meet must be paid in full to be accepted as a valid entry.
 

7.)        Prep Optionals:
The National office will be taking this program over in 2013. The “Xcel” program (Prep Ops) will have one set of guidelines and rules. Until then, whatever has worked for each State or Region will remain in effect.
 

8.)        State meet bids:
Bids are due by November 1, 2011.
You may send bid forms in by hard copy or by e-mail.
WV State Executive Committee voted to provide host Club, using an outside venue, $5,000.00 to assist in rental of venue or equipment. (Voted Feb. 2011. Not to go into effect until State Meet 2012)

9.)        State meet date: March 24 - 25, 2012
 

10.)       “Head Tax”
The term “Head Tax” is no longer acceptable.
When you send money from your Meets to the State and Region please note as a Organizational expense.
 

11.)       Defibrillator:
 It has been recommended that all clubs look into having a defibrillator in their gym.
 

12.)       Judging mileage:
Meet directors pay mileage  to Judges according to MAPQUEST MILEAGE
 

13.)      State Finances:
The financial statement prepared by USAG was handed to all in attendance.
There is less money in the account due to the State Chair meeting in Florida that required attendance from our State Chair.
 

14.)       Qualifying scores for WV State Championships
WV State qualifying scores are the same as last year.
All Around scores of:
     level 3 – 7:  27.000
     level 8: 28.000
     level 9 – 10: 32.00
 

15.)       Reimbursements:
Expenditures are needed before a request can be submitted/approved for your reimbursements.
Expenditures can be in the form of receipts, credit card statements or bank statements.
You do have the option as claiming it as income. Please indicate to me your choice of options.
 

16.)       REGIONAL DATES:
April 14-15, 2012   level 9 Regionals
April 21-22, 2012   level 10 Regionals
April 28-29, 2012   level 8 Regionals
 

17.)       Regional Congress 2012:
Any USAG Member Club in Region 7 that sends and pays for two (2) attendees to the Regional Congress 2012 will have the third attendee paid for by Region 7. Buy 2 get 1 free! WV USAG will still reimburse for the first two attendees, with verification by receipt.
 

18.)       USAG OPEN CHAMPIONSHIPS 2012:
Region 7 May send a “Level 8 Team”.  To qualify for the “Team” your athlete’s all around score must be in top 6-8, all age groups combined. The Region will pay the entry fee for the athlete and $100.00 per club that has an athlete in attendance. More information about this Open Championship will be sent later if the Region does in fact form a Team.
 

19.)       WV LEVEL 7 STATE CHAMPIONS:
The top 6-8 2012 will be a “Team” to compete in FL at the USAG OPEN CHAMPIONSHIPS June of 2012. The event took place the first weekend in June this past year and that will be the regular schedule until further notice.  WVUSAG will pay the “Team” entry fee for each gymnast and reimburse in the amount $100.00 for each Club in attendance with proper expenditure verification (receipt).
 

20.)       Financial results for State Meet.
The State Meet profit was $2,700.00.
 

21.)       Regional directors to WV
Once again the Board was able to purchase the services of Myra, Lynn and Linda. We can have 2 of the 3 ladies depending on availability and our timing.
 

22.)       WV STATE CLINIC:
Nikki Thompson (Gymniks Gymnastics) is taking charge of the clinic
It will take place this Summer / Fall 2011
 

23.)       Changes taking place in future.
Levels 6-10 will be optional levels beginning 2013.
Levels 1-5 will be Compulsory and Xcel.
The information provided in the book handed out at the State meeting has extensive information for you.
All information will be sent to those that did not attend.
 

24.)       Paper-less entries:
Regionals, Easterns and Nationals will be done on-line only this season.
